Saving box office time with do-it-yourself exchanges, refunds, and reservation payments - Thu - Feb 20, 2020 - 2:56pm

  • One of the best ways to save time is to allow your customers to process orders on their own behalf without taking up box office staff time. They can:

    1. Process their own exchanges for the dates and times most convenient for them. This saves back and forth phone calls explaining which seats or nights are available.
    2. Let patrons donate their tickets when they are unable to attend.
    3. By simply clicking a link, patrons can quickly request refunds saving phone time, and allowing you the convenience and ability to refund or not refund.
    4. Reserve seats in a patron's name and then send automated reminders requesting they complete their purchase within a given time frame as dictated by you. Unpaid seats are returned to inventory.

    Please note that self exchanges can only be processed by patrons through the link sent in their email confirmation, and only for the same event. As of now, there is not an option to include an "exchange my tickets" button on your website. 

    You'll find all of these great time-saving features in the Customer Permission Settings
     

    Exchange and Refund Options

     
    Disabled by default, you can enable this feature by simply setting the number of days in which a refund can be processed or an exchange can be made.

    We'll include one or both links in our email confirmation receipt. Clicking the link will allow them to complete their own exchange, or when requesting a refund, we'll send you an email notifying you of their request.

     

    Requesting a Refund 

     
    If the patron clicks to request a refund, they'll be presented with a page similar to this example. 



    Upon clicking the button to request a refund above, the patron will be presented with the message, "Request for refund submitted." The moment the patron requests for a refund, the primary admin will receive an email notification similar to the following with a link to the order.


     



    When Exchanges are Made by the Patron  


    When a customer clicks the link above to exchange their own seats, the primary admin will receive the email notification below with an included link to the exchanged order.
     


     






    Converting Tickets to a Donation 



    Great patrons support their local events and theatres, and what better way to show that than to allow them to donate their tickets back to your organization. Look for this checkmark to allow donations to be made by your patrons, then turn those empty seats into a second sale!

    Reservation Payment and Cancellation Options

     
    Checkthe box to allow patrons the ability to cancel their reservations. This allows you to quickly sell cancelled reservations.

    Like the Refund and Exchange option above, you can specify the number of days prior to the event when payment is due. We'll send a notice requesting payment and immediately cancel reservations when payment is not made in a timely manner if you check the box below.





    Notifying Patrons when Payment is Required 


    You can tailor the request for payment on reservations using our email template. The email includes a link for patrons to satisfy the balance owed on a reservation.

     

    We're excited to launch these new time-saving features, and we look forward to hearing your feedback. NOTE: From the date that you allow patrons to exchange their own tickets on the Customer Permission Settings, it will apply to all orders emailed from that date forward. If you have an event or performance that you anticipate may need to be canceled or rescheduled, you can take advantage of the mass email capability for that specific performance. This will email all attendees of an entire event or performance(s) allowing you to customize the email and even include links to allow patrons to self-exchange, convert their tickets to a donation, or request a refund. Head over to Events > Click on the name of your event > Marketing. Click Create an Email. This allows you to send emails for a specific performance (based on the date you enter), customize the subject, content, and embed the links for customers to choose how they want to handle their tickets.


    Self Exchanges for Individual Events and Packages


    An additional customer permission is the option to self exchange for both individual events and also packages! This provides an excellent incentive to gain more subscribers or season ticket holders, since they have much more flexibility and aren't tied down to the original dates chosen.

    For events, you'll notice that there is an "Exchange your tickets here" link in the confirmation email:

    And for packages, you'll see that each performance in a package includes a link to change dates or seats, as seen here:




    Upon clicking the one link for events or any of the links included for the packages, your patrons will be taken to the following page, where they can use the green "Exchange" button to easily and quickly exchange the dates or seats!
