How do I hold back tickets for walk-up sales on a recurring event? - Wed - Jun 7, 2017 - 3:52pm

  • If you have an event that recurs with multiple performances and you need to make available a set number of tickets online, but hold back an additional number of tickets for walk-ups, follow the steps below. In this example, you may want to sell a total of 145 tickets in advance online across multiple ticket options (Adult, Child, Senior) but reserve the ability to sell an additional 20 tickets for walk-ups.Preparing your general admission event
    1. When you create the event, set the event capacity to the maximum tickets for sale at a single date/time, or in this case: 165.
    2. Once the event is created, change the performance capacity of all dates/times to be reduced to 145 (holding back 20). 
    3. Click Public Display for your event
    4. From the left menu, click Additional Display Options
    5. Under ALTERING THE "SOLD OUT" MESSAGE, enter something like, "Additional tickets may be available at the door"
    Account Settings changes
    1. From your top menu in the upper right corner, click the browser icon and click Edit Public Display.
    2. Under AUTOMATIC INACTIVATION FOR PERFORMANCES, hoose how many hours in advance of the time slot you no longer want customers to be able to buy online. In other words, at what point before the time will only walk-ups be allowed. Let's choose: 6 hours before the performance.
    3. In the field beneath that where it says, "At inactivation, display the following message:", enter either the same message you entered for the SOLD OUT message earlier or you could say something like, "Online sales have ended. Tickets may be available at the door."
    4. Click Update to save your settings.
    Your event is now set up to only sell the first 145 tickets online in advance of the event. If you sell all 145 tickets in advance of the event, customers will see the alternate sold-out message you entered. If you hadn't sold all 145 tickets, 6 hours before the designated time of the event, the buy button will be removed and replaced your performance inactivation message regardless of whether the first 145 tickets were sold out or not.On the night of the event, once you are within 6 hours of the performance, in the Dates & Times tab, click on the capacity that says 145 for that time and change it to 165. Now, you can sell the remaining 20 tickets as walk-up sales for that individual performance until it is sold out.
