Automated Renewals for General Admission Defined Packages - Wed - Mar 27, 2024 - 3:13pm

  • Great news! In addition to having automated renewals for Reserved Seating packages, we now have the ability to do so for General Admission Defined packages, as well! The same qualifications are in place and are described in detail here.

    NOTE: You must have email branding complete to utilize the mass email renewal feature.

    Package Renewal Qualifications


    1. The previous and upcoming packages must be "Fixed" using pre-selected event dates/performances (Not Build Your Own, Choose All, or Flex Pass).
    2. All events in the the previous and upcoming packages must be General Admission. 
    3. None of the events included in the new package can have any sold tickets. Each of the performances must be 100% unsold in order for the renewal option to be available.
    4. If last year's package used "Package Ticket" pricing, then the upcoming package must also use "Package Ticket" pricing with the same ticket type names as the previous package.
    5. If last year's package used "Bundled Discount" pricing, then the upcoming package must also use "Bundled Discount" pricing AND all events included in the the upcoming package must use the same ticket types names. 

    • Disqualifying Example: 
      Event A has 3 ticket types: Adult, Senior, and Child
      Event B has ticket types Adult, Senior, and Youth
      Since the third ticket type does not have a matching name, there is no way to group ticket types per event. So, you would need to change the final ticket type in Event B to Child.

    Preparing for season subscription renewals


    From the Package Manager, either replicate last year's package for the upcoming season or create a new package for this season. Make sure that the upcoming package uses the same pricing type as the previous year's package as described above.

    Once the upcoming package is created, under the Renewal column, click "Draft Renewal Email". This will open a modal to customize the content of the email sent to subscribers.

    1. Select the Mass Email template you'd like to use. We have installed a default package renewal template as a guide to get you started.
    2. Enter the Email Subject for your renewal email.
    3. On the right, select the Prior Package. This is the package we'll use to get a list of season subscribers from the previous year.

    4. The Mass Email template you selected will be shown as a preview on the left of the page. Click on any section to open an editable content block on the right for that section. Use the tokens provided to customize the email.
    5. Consider including information about the events included in the subscription, the date when the season subscription renewal period will end, and when unpaid reservations will be cancelled and the tickets released to the public.
    6. Make sure you include the "Renew Now button" token in your email and that the token is on its own line in the email.  The Renew Now button token will embed a left-aligned, green "Renew Now" button in addition to a link for subscribers to "Cancel Reservation". The Cancel link is shown on a new line beneath the Renew Now button.
    7. When you finish editing a content block on the right, you must click the Save Changes button to save your edits to your mass email template.
    8. Repeat steps 4-7 until you have edited all of the emails section content for this season package renewal.
    9. In, "Send a test email to:", enter your own email address and send yourself a preview of the renewal email.  The preview will show the overall layout and content, but the tokens will not dynamically change during the test since it's not associated with an actual order. Feel free to make edits and updates to your email as necessary.


    What does the Send Now button do?


    ThunderTix automatically generates a reservation for the upcoming season for each subscriber associated with last year's season subscription you selected in step 3 above. We'll create the reservation in their name, tied to their patron record, with the same ticket setup they had the previous year. Subscribers will then have the option to either "Renew Now" and pay for the season subscription in full or Cancel their reservation.  If they choose to Cancel, their reservation will be marked canceled and their tickets will be released for resale.

    Tracking Renewals


    Once you've sent the renewal email, you can track the automatically generated reservations for your season package from the Renewal tab of your Package Manager. You'll see 2 available links: Pending Renewals and Email Delivery Issues.

    Pending Renewals: See a list of all Reservations for the package that have not yet been paid.  As each reservation is either renewed or canceled, the reservations will be removed from this list.

    Email Delivery Issues: See a list of all Reservations whose emails either bounced or were blocked and are considered undelivered.  You may need to reach out to these subscribers individually to notify them of their reservation. At this time, there is no way to resent the package renewal email to an alternate email address.  However, if you click the Order ID, you can send the generic reservation email receipt which also includes a link to pay for the order to an alternate email address.
